Coach and seller commissions

Prism pays commission in two separate lanes: coaches earn on the sessions and classes they deliver, and sellers earn on the plans and packs they personally ring up at the desk. The same person can be both — the two lanes stay separate all the way through to payroll.

What you'll do

Set a coach's commission rates on their trainer profile, add sales-commission rules to a staff record, and run the commission report for any date range.

You'll need: an owner or manager account with trainer and staff management access.

Steps

  1. Open Personal Trainers, tap the coach and open their profile for editing.

  2. Scroll to Payroll — salary & payouts.

  3. Set PT-pack commission (%) — the coach's cut of every PT session they deliver.

  4. Set Group-class commission (%) if class work pays a different rate. The form notes it is optional — if blank, the PT-pack percentage is used for classes too.

  5. Add a Per-session flat rate if the coach also earns a fixed amount for each redeemed PT session — it stacks on top of the percentage.

  6. Check Paid in — the currency the coach's commission is paid in. It can differ from their salary currency and from the session rate members see.

  7. Save the coach.

  8. For seller commission, open Staff, tap the staff member who sells at the desk, and scroll to Sales commissions. On a brand-new record the app asks you to save the staff first.

  9. Tap Add rule.

  10. Pick Applies to item typeMembership plan, PT pack, Nutrition / course, Class pack or Laundry sub. One rule covers one item type.

  11. Choose the payout shape — Percent of the sale or Flat amount — and enter the Amount. A rule is always one or the other, never both.

  12. Narrow the rule with Plan-shape filters (optional) if you need to: Min duration (months), a maximum duration, Min sale price, or Pin to a specific plan (optional) for things like a couples-plan override. Any bound can stay open.

  13. Tap Add commission rule. The saved rule card shows its Effective window — it starts today and runs open-ended.

  14. To report, open Reports and tap the Pack commission tile.

  15. Pick the date range, filter by earner with the chips (All earners shows everyone), and tap Export PDF for a printable copy.

What you should see

The report shows one line per sale line per earner — customer, service, date, sale amount, the percentage applied and the commission — each tagged with a Coach or Seller badge. When the same person coached the session and rang the sale, they appear on two separate labelled lines. Subtotals group by earner, and the grand totals match the commission lines on the payroll screen to the cent, because both run the same calculation.

If something goes wrong

  • A rule isn't paying out — the sale falls outside the rule's Effective window, a filter excludes it (duration, minimum price or pinned plan), or the sale was rung by someone else. Commission follows the person who rang the sale, not who talked the member into it.
  • Class commissions look identical to PT commissionsGroup-class commission (%) is blank, so the PT-pack rate is being used for classes too.
  • The report doesn't match payroll — check you are comparing the same date range. Both use the same engine, so an identical range always reconciles.
  • You deleted a rule you needed — history has already recalculated. Re-create the rule with the original date range in mind, and use Retire (preserves history) next time.
